for Arranging Office Removal
Before the Move

Renovation works: -
Ensure the renovation will finish on
time (preferably one week prior to the move) -
Ensure the places for the safes and
fireproof cabinets are well supported |

b) |
Furniture: -
Ensure whether the returns of the desks
are interchangeable in the new office layout -
Ensure sufficient partitions and parts
for the new design configuration -
Arrange vendors for compactus / system
furniture removal -
Ensure the quantities and conditions of
new furniture are as agreed in contract |

c) |
Inform the following for address
changes: -
Banking services -
Building management -
Cleaning company -
Corporate accounts -
Post office / courier (Divert all
incoming mail to the new office) -
Service providers for copiers / fax
machines / computer systems -
Subscription to trade journals,
magazines, newspapers, etc. -
Suppliers like stationary, distilled
water, etc. |

Disconnection / Subscription of
utilities: Electricity Telephone / Internet services Water supply |
|
|
e) |
Update the address on the following
materials: -
Advertising, business cards, brochures,
envelopes, letterheads, invoices, company website, etc. |
|
|
f) |
Inform
the building management at both ends about the moving schedule: -
Lift bookings, parking spaces, loading
bay -
Arrange for lift engineers standby, if
required |
|
|
g) |
Arrange
vendors for I.T. and telecommunications supporting services: -
computers, serves, copiers, fax
machines, telephone system, etc. |

|
h) |
Spring
cleaning: -
Do not wait until after move. Waste
space, time and money -
Give staff clear guidelines on the
following: i)
disposing unnecessary files ii)
archiving files iii)
reducing personal filing to a minimum iv)
shredding confidential documents perform a second spring cleaning after the move |

New
office preparation works: -
checking for renovation defects -
cleaning services of furniture, carpet
etc -
inform users of new security code /
passes -
hiring of security services, if
required |

Finalize and label which items are for
moving / storage / disposal |

On the Move Day

clearing / reinstate services in the old office. |

staging area for empty boxes pending for collection |

which items have the priority to move
